Attach shared List Items to a workflow step

Reuse reference content and distinguish it from operator input choices.

Written by Alex Merkin

Before linking an item, have an approved reference or shared item that the operator needs at this step. Select a step in an editable draft. Finish by checking that the item is visible and its link opens in the operator view; its presence in the editor list alone is not enough.

List Items are shared reference items that can be attached to a step. They are not the Pass/Fail choices inside a Radio or Select field.

Use an input field when the operator must enter or choose a value. Use List Items when the step should provide shared reference content.

Attach items

  1. Select the step and open List Items.

  2. Click Add Items.

  3. Search the picker for the intended items.

  4. Select the items and confirm the selection.

  5. Inspect the attached items on the step.

List Items with a linked Help Center reference

A linked Help Center reference appears under Linked Items. In Preview, also open the reference to confirm that the operator can use it. This example is read-only.

Check the name and content, not just whether a similarly named item exists. Where available, use the item's open/download action to inspect its resource or link.

Manage the shared catalog

The picker provides catalog-management controls according to the available permissions. Create or edit an item when the shared reference itself needs maintenance.

An item can be used by more than one workflow. Read any in-use, replace, or delete prompt before changing a shared record. A replacement can affect uses beyond the step currently open.

Removing an attachment from a step and deleting the underlying catalog item are different actions.

Language

List Item names and links can have translations. The catalog labels shown in the editor can follow the interface language.

Review the intended operator-language view and verify that a translated step description is not concealing an untranslated or incorrect shared reference.

Verify the result

Preview the step and confirm the expected item is accessible. For a link, check the destination and access with an appropriate operator account. For a file, check that the operator can open the intended content.

If you expected a required answer or a stored choice, return to Enrichment and configure an appropriate data field instead.
