Introduction

What can be better than a single email that summarizes all of your forms’ statuses in Next Plus?

“A whole bunch of other things… 😃”. Yes, however, they are not covered in this article.

Digest Email feature enables to configure a summary email, with the following data:

  • Forms that are not closed

  • Forms that were created in the last 24h

All you have to do is to configure the:

  1. When?

  2. Who?

  3. What?

Some Rules

  • Only one Digest email can be configured in Next Plus.

  • Each user will see forms that he opened, forms that were assigned to him, and forms that were opened by his subordinates.

The “When”?

There are two ways to schedule the sending of the digest emails:

  • Wholistic - Through the system's General Settings. This option is organization-based, which means that all users will receive the digest emails according to the settings specified in that menu.

    Individual - Through the user's profile settings. This option allows individual scheduling of digest email send-outs.

If both are configured in your environment, the Individual option takes precedence over the Wholistic one.

Wholistic Approach

Go to: Settings → System → Digest Email Settings

  1. Activate the “Send daily digest email” toggle switch.

  2. Select users - this list of users will get ALL the forms in the system.

ℹ️ - Users that are configured here WILL receive all the forms that are in status open and configured to be sent.

  1. Schedule the time for the email.

  2. Set as many instances as you need in your environment.

  3. Click SAVE.

Make sure that you have configured the correct time zone for your region.

Individual Approach

Go to User Settings, or direct the users to their profile settings.

The “Who”?

Recipients for the digest email should be configured.

There are two ways to do that:

  1. Settings → System → Digest Email Settings There, you can find the “Users to receive all updates” field. add all relevant users.

  2. In the User configuration window. This is very effective when you add new users.

  3. Go to: Settings → Users → Users Configuration

  4. Enter specific user setting. click on the “Eye” icon

  5. Check the “Send digest email” checkbox.

  6. Click Save.

The “What”?

So, it’s time to add some forms to the digest email. This is done individually for each form.

  1. Go to: Modeling → Forms

  2. Locate and enter into the Edit mode of that form. Click on the “Pencil” icon to do that.

  3. Expand the “Advanced Setting” section.

  4. Check the “Include in digest email” checkbox.

  5. Select the View that you want for the form.

ℹ️ - The View is a cool feature. Same way that you can configure different views to all Table views in Next Plus, you can configure a specific view for the email digest.
