Copy, reuse, and bulk-edit workflow steps

Reuse instructions safely and understand what can be edited across several steps.

Written by Alex Merkin

Start with two practice steps you know. Before pasting, decide whether you need an independent copy or a reference to a shared workflow. Afterwards check fields, connections, and triggers as well as titles: a successfully copied title does not establish that the copied behavior fits its new use.

Use copying for independent instructions, a reference workflow for a shared process, and bulk editing for supported changes across selected steps.

Select and copy steps

Select one step, or Ctrl-click/Cmd-click several steps. Use Copy from the available selection/row controls, or Ctrl/Cmd+C when focus is outside a text field and you are copying steps rather than selected text.

Wait for the copy confirmation before moving to another workflow. Then use Paste or Ctrl/Cmd+V when compatible copied content is available.

Review Paste Preview

Inspect the pasted content and any dependency warnings before confirming. Variables, fields, tools, references, and other linked settings need attention when moving content between workflows.

Do not assume every name collision has the meaning you intend. For example, a destination variable with the same name can have different settings. Review the resulting variable plan and run validation.

After pasting, check chapter placement, First Step flags, incoming/outgoing routes, and conditions. Preview the new path.

Duplicate or reference?

A duplicated step or workflow is a separate starting point that you maintain independently. A reference step reuses another workflow's released process through the platform's reference/version behavior.

Choose a reference when the same process should be maintained centrally. Choose a copy when the instructions will intentionally diverge.

Bulk-edit supported properties

Select several steps to open the bulk editor. Its tabs include Basic Info, Enrichment, Process, Signatures, Triggers, and Logic.

Routing, BOM, and List Items are not bulk-edit tabs. Select individual steps for those changes.

Varies identifies differing settings. Some differing properties are disabled for bulk editing; this prevents treating unequal configurations as one common value. Select a step individually to inspect or change it.

Two selected steps in Multi-Select Editor with Copy and Varies indicators

Two steps are selected in the tree, and Copy appears at the top of Multi-Select Editor. Varies beside Title and Description identifies differing values; those fields are disabled for a shared edit in this capture.

Check the result

Start with a small selection. Change one shared property, then inspect each affected step. Confirm that instructions, fields, signing requirements, and conditions still match the intended process.

Use Undo for an unwanted bulk edit, then verify the restored state and save status. A successful paste or bulk action is not proof that the workflow's resulting paths are correct.
